Information About Placing Material On Reserve

Ordering New Material

The most convenient and quickest way for you to place library reserve orders is via Iris, while ordering books for students to purchase at the Bookstore. The bookstore provides extensive instructions. Please be sure to indicate, in the appropriate box, the total number of copies of each title that you want the library to place on reserve.

Placing Books on Reserve

All books to be placed on reserve whether they are on order or already in the library collection should be listed on a reserve list form. Electronic copies of the form can be downloaded below.

Email completed forms as an attachment to reserves@reed.edu.If you plan to use materials from a previous term’s course, we should be able to create a booklist from the earlier course’s reserves. Contact us by email or phone, and we will get that process started.


The earlier you can send us your reserve requests, the more likely we will be able to have all of your items on the reserve shelves for you and your students to utilize.

Some important reminders:

  • Please send us your book list for reserves rather than just a syllabus. However, we hope you will include your syllabus as it can sometimes help us resolve questions or problems we might encounter in building your course reserves.
  • Be sure to indicate on the reserve form your preferred loan period, either 2-hour or 24-hour reserve.
  • The ratio of copies of a book per number of students is 1:5. If the book is the primary textbook for the class, the library will place a ratio of 1:12 copies of a book per number of students on reserve up a maximum of 8 copies.
  • During the school year please allow 48 hours in order to process materials for shelf reserves. We will do our best to accommodate emergency situations when they arise.

Placing Material on Electronic Reserve

Brief Copyright Overview

If you previously have used the material for the same class, then you need to request copyright permission. If the material is more than 10% of a book or more than 1 article from a journal issue, then permission is also required. Permission is not required for syllabi, problem sets designed by the faculty, answer sheets, quizzes, items in the public domain, or items that meet fair use criteria. The library will seek copyright permissions after we receive the material from you.

In order to comply with copyright permission agreements, items on electronic reserve will be password protected and available only to members of your class. Instructions for access along with a class specific password will be given to faculty for distribution to their students. Faculty are responsible for distributing the password. Passwords may not be sent over email. All items will be removed from electronic reserve at the end of the semester.

If you plan to use the Moodle learning management program, we can add your e-reserves and electronic syllabus directly to your course page. Students will access their assigned readings using their Kerberos login, so no added password is required. You will need to add the Access Services Librarian and the Reserves Assistant to your Moodle coursepage(s) in the role of Librarian.

Submitting Material for Electronic Reserve

Please notify the reserves assistant if you would like to use e-reserves. A course page will be set up for your class and a password assigned. If you have used materials as e-reserves in a previous semester, we should be able to simply reactivate those items.
If we have electronic access to an article via electronic resources such as JSTOR, we will link it electronically rather than scanning it. Most articles that are available via electronic resources such as JSTOR will allow direct links to be set up in an electronic reserve system.
  • Faculty should submit high quality photocopies, including title and copyright page, to library circulation staff.
  • Please submit original copies whenever possible to ensure quality.
  • Pages photocopied from a book should have the least possible shadow from the spine and black space around the edges.
  • The copies should be 8.5 in. X 11 in.
  • Single or double-sided copies are acceptable.
  • The text may be in portrait or landscape, but students will need to rotate landscape articles themselves.
  • Copies should not have any holes, tears, or staples.

These items will be scanned and made available online as a PDF. All materials should be delivered to the library with the class name, number, and instructor's name. Each item must include a full bibliographic citation, or title page and verso page. Scanned materials will be returned to your office or Eliot mailbox.

If you would like us to add electronic links from your syllabus to reserve materials, email your syllabus as an attachment to reserves@reed.edu. Links to syllabi will be made available on the reserves page.


The earlier you can send us your reserve requests, the more likely we will be able to have all of your items available for you and your students to utilize. For additions made during the semester, please allow at least 72 hours for the material to be added before you assign it to your students; we will do our best to accommodate any last minute needs when they arise.

Placing Photocopies on Reserve

Brief Copyright Overview
Single copies of a chapter comprising ten percent or less of a book, or single articles from a journal issue may be placed on reserve without permission. Multiple copies of materials placed on reserve require copyright permission, unless they are fair use or in the public domain. The library will seek copyright permissions after we receive the material from you.

Submitting Material for Reserve Folders
All materials should be delivered to the library with the class name, number, and instructor's name. Every photocopy must have the title page and verso page, or the following information printed on it: Book, or Journal Title, Article Title, Author, Publisher, Date of Publication. The maximum ratio of photocopied material (folder items) per number of students is 1:10. Folder items are only available for 2-hour loan periods.

If we have multiple copies of a book containing the material to be placed on reserve, or if we have access to it through electronic resources such as JSTOR, we will not place photocopies of the same material on reserve.

After the semester has ended, photocopied material will be returned to your office or Eliot mailbox.
